๐ Format US Addresses in Excel
Brings every address in your list into the same USPS-style format โ whether your addresses are in one column or split into Street, City, State and ZIP.
What it does
- Puts one-cell addresses in the standard order: Street, City, ST ZIP โ even when the ZIP code was typed before the city
- Fixes capitalization: 7B HARBOR RD โ 7B Harbor Rd, new york โ New York (names like McDonald and DeKalb stay correct)
- Street types abbreviated the USPS way (St, Ave, Blvd, Apt, Ste) โ or spelled out, if you prefer
- State names become 2-letter codes (California โ CA); a missing state is added from the ZIP code (10001 โ NY)
- ZIP codes get their lost leading zero back (2110 โ 02110) and 9-digit ZIPs become ZIP+4 (94105-1234)
- Works with separate Street / City / State / ZIP columns too

How it works
Good to know
- Always keep a copy of your original file as a backup and check the cleaned copy before you use it.
- Made for US addresses. Addresses from other countries are not recognized and are left unchanged.
- Addresses the tool cannot read with confidence (for example without a city) are never guessed โ they stay as they are and are listed for you.
- The tool formats addresses; it does not check whether an address really exists.
- Reads .xlsx, .xls and .csv files and saves the result as a new .xlsx file.
- Only the first worksheet is cleaned. Other worksheets and title rows above your table are kept unchanged.
- Values, dates and number formats are kept. Cell colors and fonts are not carried over to the cleaned copy.
- The tools are provided free of charge and "as is". We have built and tested them with great care, but we cannot guarantee that every entry is recognized or changed correctly. More about this tool
Address lists from different sources rarely match. One export writes "42 OAK STREET, NEW YORK", the next "42 oak st., 10001 new york", a third puts the ZIP code before the city. For mailings, labels or imports into a CRM you need every address in the same format.
This tool standardizes US addresses the way the Postal Service writes them: street number and name, street type (St, Ave, Blvd), unit (Apt, Ste), then city, 2-letter state code and ZIP code. Capitalization is fixed, state names become codes and a missing state is added from the ZIP code.
It works whether your list has one address column or separate columns for Street, City, State and ZIP. Columns are recognized by their header name.
You see before/after examples on screen, and every address the tool could not read with confidence is listed instead of being changed. Your file never leaves your computer.
